Farmhouse windows lit up at night, evoking after-hours calls to roofing companies

By Pam Torrey, Senior Director of Marketing at Leaping AI

Your call center team clocks out at 5pm on a weekday, but your phones don’t stop ringing. That’s the gap where roofing leads disappear—sometime between 5pm and 9am, when the call center reopens, the next day.

Some of the highest intent calls you will get all week occur after-hours. A homeowner just found water coming in through the ceiling after a long day at work; a family spots shingles in their yard a couple days after a storm as they kick around the soccer ball; a single mom finally has time to call for quotes after putting her kids to sleep. For most roofing companies, all of those calls go to voicemail.

When Your Phone Actually Rings

Roofing leads don’t come in on a typical business schedule. They’re dependent on when your customer has time to call, whether that’s after work, during their lunch break, or on the weekend when their kids are at a friend’s birthday party. Your customers have busy lives, and while home maintenance and repairs are a priority, they have to fit calls in around their families and jobs.

None of this is unpredictable, just inconvenient when you’re trying to run a business, because your highest-intent leads are calling when no one is staffing the phones. Evenings, weekends, and the 48 hours immediately following a storm are when demand spikes, and most roofing companies have no one picking up those calls.

What Happens to Those Calls Right Now

At most roofing companies, after-hours calls go to voicemail where they will sit until a customer service representative has time to listen to the message and return the call the next business day. That is not an ideal outcome for a lead that cost over $120 to generate through marketing. Making a homeowner wait to get a call back from a voicemail is asking them to turn to your competition. And trying to get to them during business hours could be a challenge if they also have to work.

Slow or delayed speed-to-lead costs more in roofing than most other industries. A roofing replacement typically runs $10,000 to $18,000, and a price tag of that size means most homeowners are calling multiple companies before they choose a contractor. The company that answers first and wins the homeowner’s trust tends to win the job—not necessarily the company with the lowest price.

Why a Human Answering Service Doesn't Solve It Either

Often the next move for a business trying to solve the after-hours problem is to contract with a human answering service. It’s not a bad option and certainly feels more personal than a voicemail, but most live answering services are just human equivalents of a voicemail. They get contact information, take a message, and pass it on to the team that will return the call during business hours. Even if they are able to book appointments for your team, they don’t have the specialty knowledge to answer customer questions, handle objections, or know when to escalate issues in real time.

Even with an outsourced answering service, the coverage problem doesn't go away. Storm season or major weather events can lead to a spike in calls that can’t be staffed, even with that outsourced team, so you’re still looking at hot leads leaving voicemails or waiting on hold until they can be helped. And when things are quiet and lead flow drops, you’re paying for a minimum staffing level from the outsourced answering agency whether you use them or not. So whether it’s feast or famine with the call volume, you’re dealing with staffing issues.

How Voice AI Covers After-Hours Without Adding Headcount

This is the exact issue Feldco had. Their after-hours evening and weekend calls were going to voicemail. It didn’t make sense to staff the call center during those hours when the lead flow was unpredictable. By the time their team called back  the next morning, many of those homeowners—those hot leads—had already booked with a competitor.

They implemented Leaping AI specifically for after-hours coverage and saw immediate results. Feldco saw 100% after-hours call coverage with double-digit appointments booked every month from those calls, all without adding a single new hire. The AI-booked appointments are just as qualified as the ones booked by a human CSR, because the AI agent is asking the same questions and checking the same calendar.

A similar change happened for Maverick Windows when they implemented a Leaping AI voice agent. Homeowners were calling on evenings and weekends, outside normal business hours. Each of those calls that went to voicemail represented up to $16,000 in potential business. At just four after-hours appointments booked a week, that adds up to $256,000 in pipeline that was going straight to voicemail.

Both companies saw these results without adding a single after-hours shift or any CSRs to their team. The voice agent picks up on the first ring, has a real conversation with the homeowners, looks at your team’s calendar, and books the appointment directly into the calendar or CRM your team sees the next business day. No need to set up call forwarding, staff off-hours, or pay for an answering service to be your glorified voicemail.

Your After-Hours Calls Are Already Happening

The after-hours calls are coming in whether or not anyone's there to answer them. The only question is what happens once the phone rings.
